A common problem when using timecards are employees who forgot to clock out, or who didn't add a break to their daily timecards. It is frustrating to personally fix these issues and they can easily pile up, so PackageRoute has provided a Fix Timecard Issues tool which will attempt to fix these issues for you.
Limitations
- Available only via the WebApp.
- The tool cannot add clock in and clock out events for employees who haven't signed into a scanner.
- Based upon first and last stop times. You can choose an offset (e.g. add a clock in 45 minutes before first stop delivered, and 1 hour after last stop closed) and apply these offsets to every driver who is missing a clock in or clock out event.
How to use
- On the WebApp, from the main menu, click on the stopwatch icon
to navigate to the timecards Daily Report page.
- If on a mobile device or small screen, click on the calendar icon in the bottom left of the screen to switch to Daily Report view.
- Expand the Timecard Issues section by clicking on the Timecard Issues title. Next to the title is the number of issues found in the last two weeks.
- Click on the "Enable fix timecard issues tool" toggle.
- Choose your settings:
- Add Clock In: the number of minutes before the driver's first stop to clock them in by. (If the driver already clocked in, their original time will remain the same. This value is applied to all drivers without a clock in event)
- Add Clock Out: the number of minutes after the last stop to clock them out by. (If the driver already clocked out, their original time will remain the same. This value is applied to all drivers without a clock in event)
- Add Break: inserts a break for all employees with a timecard and no recorded break. If disabled, no break will be added.
- Break start time: the time of day the inserted break should be added.
- Break length: the length of the break in minutes from the break start time.
- Generate timecards for all drivers: if a driver didn't clock in or clock out at all, but did sign into the scanner, a timecard based upon their scanner data will be created based upon the settings above. Disable to ensure that only existing timecards are modified.
- Click the "Fix" button. You will be asked to confirm. Changes applied to timecards cannot be undone.
- Automatically applied changes will be listed as edits on the employee's timecard.
- Once an issue has been addressed, it will be removed from the Timecard issues list. If you want to manually fix clock in/out times and automatically add breaks, we recommend that you manually adjust the clock in/out times prior to running the tool.
NOTE: if necessary, you have the ability to edit timecard data for individual employees
